How to choose a product demo tool

The questions to ask before picking an interactive demo, sales demo or video tool.

Demo tools fall into a few broad groups. Pick the group first, then compare vendors within it. See the full tool directory.

1. Decide who the demo is for

  • Website visitors (marketing): you want click-through or interactive demos that embed well and capture leads.
  • Prospects in a deal (sales): you want demos a rep can personalize for each account.
  • Complex enterprise evaluations (presales): you want stable demo environments and data you control.
  • New users (onboarding and support): you want quick guides that are easy to update.

2. Screenshot vs. HTML capture

  • Screenshot-based tools are fastest to build and work with any app, but text and data can’t easily be edited.
  • HTML capture tools copy the page so you can edit text and data and swap in a prospect’s logo. They take more setup but look more real.

3. Questions to ask every vendor

  1. How long does it take to rebuild a demo after our UI changes?
  2. Can we personalize names, logos and data per prospect?
  3. What analytics do we get, and does it sync with our CRM?
  4. Can we gate a demo behind a form, or leave it ungated?
  5. How does pricing scale with seats, demos or views?

4. Run a two-week trial
